Resources for Getting Started and for Annual Renewals
Coaches, before you officially start as a Meridian coach, and again as renewals are needed, steps 1-5 below need to be complete and certifications and signed agreements must be provided to Ashlie Langlinais. (This applies to all coaches -- volunteers and those receiving stipends.)
 
Step 1)  Fingerprinting - This step must only be taken when first becoming a Meridian Coach or Assistant Coach. Annual renewal is not required.
Please ask Ashlie Langlinais to facilitate the fingerprinting process for you with Kathy Illgen. Kathy will guide you through the process via email. 
 
Step 2) Coach Agreement - This step must be completed by all coaches annually, before your season begins.
B) Complete and submit the Coach Agreement Google Form (link found at the end of the Minimum Standards).
C) Complete, sign and return your Coach Stipend Offer to Ashlie.
 
Step 3)  SRP Video - Watch this video. Please re-watch each year.
This is critical to maintain the safety standards of our school. Even sports that primarily use off-campus facilities might occasionally use onsite facilities. Thus, every coach should be familiar with SRP.

Step 4)  Certifications - Please provide your certifications to Ashlie Langlinais when starting as a Meridian Coach or Assistant Coach AND as renewal is needed to keep your certifications current. Coaches can see the dates their certifications expire here.
Each coach and assistant coach must be CPR, First Aid and Concussion certified. When getting started or when renewal is due, you can find the needed resources below.

Step 5)  Diversity, Equity and Inclusion Annual Training Confirmation -
Before the start of each season/school year:
  1. Please watch the video.
  2. Then please complete this form.
Coaches can see the dates they completed this annually here. (DEI Training will be updated before the start of each school year. It is important that all coaches and assistant coaches complete the most current training annually.)
 
Step 6)  IB and Athletics at Meridian.
Before the start of each season/school year, please watch this short video and think about how you can best support IB in Meridian Athletics.
 
Resources for During Your Season
Coaches' Roster
Your team's roster will be shared with you before the start of your season. If updates are made during the season, you will be notified. Please bookmark your team's roster Google Sheet to keep it handy wherever you are training or competing.
 
Know your athlete's eligibility:
  • Physical Eligibility -
    • Please note which students have physical forms that expire during your sport's season. Be sure they are not participating with an expired physical form!
      • Remember - COACHES CANNOT ACCEPT OR PROCESS PHYSICAL FORMS.
      • Physical forms can be submitted to [email protected] or dropped off in the middle school or high school office during school hours.
        • Updated regularly. See the day and time it was last updated at the top.
        • If the student's name is not listed, then the Athletics Department does not have a physical for them.
        • If "pending" is in the place of an expiration date, the physical has missing information or was not cleared.

  • Academic Eligibility - 
    • Find important dates for 2022-2023 Academic Eligibility here.
      • Dates students can LOSE academic eligibility: 10/21/22, 1/10/23, 3/24/23
      • Dates students can REGAIN academic eligibility: 10/21/22, 11/18/22, 1/10/23, 2/10/23, 3/24/23, 4/21/23
    • How to support your students who are academically ineligible or at risk of becoming academically ineligible. Ask these students:
      • Do you have any Missings (missing assignments)? If they do, encourage them to get them submitted. There are no grade penalties for late submissions; however, there is a cut-off for when late work will be accepted (see Late Work Policy). After that time, it counts as a 50. Missing assignments must be turned in while the teacher is still accepting them. Additionally, they must be turned in before the end of the grading period in order to impact the student's academic eligibility.
      • Have you taken advantage of every opportunity to retake summative assessments (major grades like tests and projects)? Meridian students can retake each summative once up to 100, but there is a process and a cut-off. This needs to be done within 2-weeks of the test/project getting returned. Summative assessments must be retaken in while the teacher is still accepting them. Additionally, they must be retaken/completed before the end of the grading period in order to impact the student's academic eligibility.
      • When are the tutorials for the classes you are failing? How frequently are you going? Teachers offer 2 tutorials a week and sometimes they will offer more by appointment.
    • Grade Check Form - You may ask the students on your team to check their grades with their teachers in order to help them take ownership of their academic eligibility. Please distribute this Grade Check Form to all members of your team the second to last week in the grading period. Ask them to return it to you before the end of the week. This will help you support them towards academic success. Please keep the distribution and collection of these forms discrete to avoid embarrassing students.
    • Then, you as the coach, are welcome to email the teachers to ask about what the failing/struggling student needs to be doing to bring their grade up. Teacher’s email addresses are: First initial.last [email protected]. You can find their names in the progress reports/grade reports. Ex: [email protected].
    • Students can practice if they are academically ineligible, but they cannot dress out for competitions, be excused from school for Athletics, or compete while they are academically ineligible.
  • Financial Eligibility update as of 10/22/19 - Financial Eligibility will not be checked mid season. It will only be checked for tryout eligibility (or eligibility to start the season.)  This means you will not have to worry about Financial Eligibility. Once they are financially eligible to try out, they will remain financially eligible for the season. The same is NOT true of academic eligibility, and some students will lose physical eligibility mid-season, and that is noted in your roster.
  • When using the Coaches' Rosters:
    • Be sure to select your sport's/team's tab
    • The shared version can be viewed online from anywhere with the link, or you can download it to your computer.
    • Please remember to update Robyn with any changes and additions such as jersey numbers and positions.
    • Coaches cannot make revisions to this online shared Google sheet. You are welcome to download it to your own computer and make revisions that will help you coach your Meridian team.
    • Solicitation to our school community is not permitted without prior permission.
 
This document will explain how it is determined to grant an early release for sports.
Remember, it is the responsibility of the coach to review their schedule as soon as it is available and to let Ashlie and Robyn know which days they feel they will need an early release. Early releases should be requested at least one week ahead of time.

Using TeamApp to communicate with your team is essential for success and required of all Meridian Coaches.
1. Use your roster to create your TeamApp Team and Access Groups. (Common Access Groups are: Coaches and Athletics Department, Parents/Guardians, Athletes.) Add all the student athletes on your team, their Parent/Guardian 1s and Parent/Guardian 2s, your program lead coach (the Varsity coach for your sport) and your assistant coach, Robyn and Ashlie.
2. Add all of your team's competitions and practices as Events. Include location addresses. You would also add team social events as "events" when you have them.
3. Ask your team members and their parents/guardians to join your TeamApp via email. (Using TeamApp is required of all student athletes and at least one parent/guardian.)
4. Use Chat to send instant notifications when there is something time-sensitive to communicate such as cancellations due to weather or the field conditions. Be sure to enable push notifications for each chat so those students and parents/guardians without the mobile app will see your message via email.

  • Whenever you have an early release, please reiterate the transportation protocol and procedures to your community.
  • Revisit the school's position on coaches providing, making or suggesting transportation for student athletes to Athletics functions.
  • Find out what to do if you are a coach and a parent/guardian who plans to transport a student athlete that is not your own child.
  • See example emails from parents/guardians to the school for permission for another parent/guardian to pick up their student during an early release for Athletics or to release the school from liability if a coach who is also a parent/guardian is granted permission by the parent/guardian to transport another child (besides the coach's own child).
 
End of Season Socials
Each sport celebrates its season with all teams present at an End of Season Social and Awards Ceremony. Here are some important notes about the End of Season Social.
  • About the EOS Social -
    • It is usually two hours long and held in the Mays Café. They are often on Sundays, but they can be on weekday evenings. Facilities are easiest to reserve on Sundays. The lead coach will work with the rest of the coaches and the Athletics Coordinator to determine a date. The Athletics Coordinator will reserve the facilities and equipment needed and let Robyn know so she can add the date to department communications. The lead coach should also add the date in TeamApp.
    • This event must take place within two weeks of the end of the sport's season.
    • The coaches must be present, and the lead or Varsity coach will lead the event.
    • The Athletics Coordinator is also present.
    • The event is for all of the athletes and their families along with their coaches.
    • There is no budget for the EOS Social. It must be supported by the community at whatever scale they are comfortable. Typically, a few donations and supplies are donated and each family contributes to a potluck meal. Meridian facilities can be made available for free. However, if the team wants to celebrate elsewhere, the cost associated with that will need to be covered by the team. Please keep in mind that some students are receiving financial assistance, and that information must stay private. Therefore, we cannot require a financial contribution from anyone. Parents/guardians must be able to contribute or not to all aspects, including gifts, without any social pressure or risk of embarrassment.
  • Parent/Guardian Support Needed - Parents/guardians are needed to help by providing supplies, volunteering to organize, setting-up, cleaning-up, and a parent/guardian is needed to create a slide show of the sport's season. The lead coach will need to make sure these duties are covered.
  • Awards -
    • The lead coach will work with the Athletics Department to determine what kinds of awards to offer. No more than four types of awards is recommended. The goal is to keep the recipients in the minority so it is more of an honor and so that those who do not receive an award do not feel in the minority.
    • The most common awards per team are:
      • Most Improved Athlete
      • Spirit Leader
      • Lion Award (leader on and off court/field/dance floor/pool)
      • Most Valuable Player
    • Then once award types have been determined, Robyn will ask for nominations from all of the sport's coaches. The nominations will be reviewed and approved by the lead coach and the Athletics Coordinator. Students who missed competition or performance due to academic eligibility cannot receive the MVP award. Students who are nominated for the Lion Award must be approved by their assistant principal as not having any behavioral issues that would bring into question them winning a character award. Then Robyn will create certificates for the approved nominees for the team's coach and the Athletics Coordinator to sign and for the lead coach to present at the event.
  • Recognizing volunteers - At this event, the lead coach should also recognize parents/guardians who were monumental in supporting the sport as well as recognize more commonly all parent/guardian volunteers for the season. 
  • Seniors -
    • If the sport did not have a Senior Night event or if the seniors have not yet been recognized formally, the seniors should be recognized at this event. Per the lead coach's request, Robyn can collect personal information for each senior which the lead coach can use at the event to honor them. 
    • A slide show or a portion of the sport's slide show dedicated to the seniors is customary. This should be facilitated by the lead coach, who is welcome to ask for the assistance of the team parent.
    • Senior gifts given to the seniors by the coach or by the team are typical. Again, the coach is welcome to ask for the help of the team parent to make this happen.
  • Team Parents - In the coordinating of the End of Season Social, recognizing volunteers and recognizing seniors, the team parent can be asked to help coordinate, but there should be no financial burden placed on this parent.
